01Who we are
Flowmatic ZA (Pty) Ltd (Registration No. 2026/491864/07), of Grabouw, Western Cape, South Africa, is the responsible party for the personal information described in this policy. We build and operate AI automation, apps and websites, including ResiDesk, a property-management service used by residential complexes and their trustees/managers.
This policy is aligned with the Protection of Personal Information Act (POPIA). Questions or requests can be sent to our Information Officer at christianjansenvanrensburg@flowmaticza.co.za.
02Information we collect
Website enquiries: if you contact us, we collect the name, email address and message you provide.
ResiDesk (residents): when you log a complaint or maintenance request — including via our WhatsApp service — we collect the minimum needed to handle it:
- Your name
- Your contact number (WhatsApp)
- The details of your request (category, unit, description, and any photos you choose to send)
We do not collect identity numbers or banking details for this service.
03Why we use it
- To respond to website enquiries.
- To log, categorise, assign, resolve and report complaints and maintenance requests, and to send you status updates.
- For ResiDesk, a body corporate and its trustees/managers are entitled to hold and process residents' information in order to carry out their statutory duties in managing the property.
04WhatsApp messaging
ResiDesk uses the WhatsApp Business platform to receive requests and send updates. Messages you send are processed to create and track your request. Your use of WhatsApp is also subject to WhatsApp's and Meta's own terms and privacy policies.
05How we store & protect it
- Data is stored in a managed PostgreSQL database (Supabase) and transmitted over encrypted connections (HTTPS/TLS).
- Access is restricted by authentication and row-level security, so one building's managers can only see their own building's data.
- Photos and documents are kept in private storage, not on public links.
- We keep information only as long as needed to manage the property and meet legal obligations, after which it is archived or deleted.
06Who we share it with
Your information is visible to the management/trustees of your own building (and their managing agency) so they can resolve your request, and to service providers who help us run the platform (such as our hosting provider) under appropriate safeguards. We do not sell your personal information.
07Your rights
Under POPIA you may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where there is no legal reason to keep it. To exercise these rights, contact your building's management or our Information Officer at christianjansenvanrensburg@flowmaticza.co.za.
