The Information Officer is responsible for ensuring compliance with POPIA and can be contacted directly for any privacy-related enquiry, access request, or complaint.
02Personal information we process
Flowmatic ZA processes personal information in two contexts:
Website enquiries and leads: name, email address, phone number, business name, and message content submitted via our contact form or WhatsApp.
ResiDesk (property management service): resident names, WhatsApp numbers, unit numbers, and maintenance/complaint details submitted by residents to their body corporate or managing agent. This information is processed strictly to resolve and track building maintenance and administrative requests.
Client accounts: business contact details, billing information, and service usage data for companies that engage us for ongoing services.
03Purpose and legal basis
We process personal information only for the specific purposes for which it was collected:
- Responding to service enquiries and providing requested quotations.
- Delivering contracted services and managing client accounts.
- Operating ResiDesk: logging, assigning, resolving and reporting building maintenance requests on behalf of body corporates.
- Complying with South African legal and tax obligations.
Processing is based on contractual necessity (to deliver our services), legitimate interest (responding to enquiries), and where required, consent (marketing communications).
04Your rights as a data subject
Under POPIA you have the right to:
- Access: request confirmation of whether we hold personal information about you, and a copy of that information.
- Correction: ask us to correct inaccurate or incomplete personal information.
- Deletion: request deletion of personal information where there is no lawful reason to retain it.
- Objection: object to the processing of your personal information, including for direct marketing purposes. You may opt out of marketing communications at any time.
- Complaint: lodge a complaint with the Information Regulator if you believe your rights have been infringed (see section 06 below).
To exercise any of the above rights, contact our Information Officer at christianjansenvanrensburg@flowmaticza.co.za. We will respond within 30 days. ResiDesk residents may also contact their building's management directly for access to building-related records.
05How we protect your information
- Personal information is stored in managed, encrypted databases (PostgreSQL via Supabase) with row-level security.
- Access is restricted by authentication controls and role-based permissions.
- All data is transmitted over encrypted connections (HTTPS/TLS).
- We retain personal information only as long as necessary for the purpose for which it was collected, or as required by law.
- We do not sell personal information to third parties.
06Complaints to the Information Regulator
If you are not satisfied with our response to your privacy request or complaint, you have the right to lodge a complaint with the Information Regulator of South Africa:
